Highways maintenance enquiries privacy notice

We're committed to protecting your personal data and ensuring that it is processed fairly and lawfully. Information you provide to us will be processed in accordance with the General Data Protection Regulation, Data Protection Act 2018 and subsequent legislation.


The data that we process may be your name and address or in certain circumstances we may be required to process more sensitive information, known as special category data including health information.

Purpose of processing

The information provided will only be processed for the purpose of responding to enquiries about highways maintenance activity under our Highways Capital Program. It will not be processed for any other purpose.

The lawful basis for processing is that the processing is necessary for us to perform a task in the public interest or for its official functions and the task or function has a clear basis in law.

The lawful basis for processing special category data is found within Article (9)(2)(g) UK GDPR - reasons of substantial public interest (with a basis in law).

The associated substantial public interest condition required by the Data Protection Act 2018 is contained within Part 2 of Schedule 1 - Paragraph 6 - Statutory and government purposes.

Who receives the information

This information may be shared with contractors working on our behalf in order that they can respond directly to you.

It will not be shared with any other third parties unless required by law. The information provided including any special category data, if given, will not be used for marketing purposes or to take any automated decisions.

How long we keep the information

The information provided will be kept for 6 years in accordance with our retention policy for management of enquiries.
