 Terms and conditions for countryside events and services.


The following definitions are used in these terms and conditions:

  • Model cancellation form - means the model cancellation form of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, included in these terms.

  • Personal data - means the details provided by you on registration and any other information you supply to us about yourself.

  • Service(s) - means any events and/or courses offered by us.

  • Terms - means these terms and conditions that shall apply to any services you order from us.

  • We/Us - means the Countryside Service of Derbyshire County Council, of County Hall, Matlock, Derbyshire DE4 3AG.

  • You/Your - means the consumer or company (as applicable) who orders the services from us.

The following terms and conditions apply to all orders for the purchase of services from the Countryside Service of Derbyshire County Council.

  • All of the services are payable in full at the time of booking. You will need to pay the required fee by following the online payment process.

  • We reserve the right to cancel or reschedule any service. Where it is necessary to cancel or reschedule any service, you will be informed at the first available opportunity and offered an alternative service if this is possible.

  • If there is any charge for a service, full payment is required by us prior to the start date of the relevant service.

  • If you are booking as a company, the full charges (if any) will be charged for cancellations made less than 10 days before the start date of the relevant service. Cancellations can be received either by phone, tel: 01629 533301 or email: countrysideservice@derbyshire.gov.uk, or using the model cancellation form, on this page. Cancellations by email or phone should state the same details as required by the model cancellation form.

  • If you are booking as a consumer, you have 14 calendar days in which to cancel your booking from the date it was made by you. If the services booked are due to start within this 14 calendar day period and you cancel any service, we reserve the right to charge either the full cost of the relevant service, or an administration fee of £10, whichever greater, to offset system and financial charges.

  • If you cancel any service 15 days or more after you made the booking, We reserve the right to charge either the full cost of the relevant service, or an administration fee of £10, whichever greater, to offset system and financial charges.

  • Cancellations can be made by phone, tel: 01629 533301, or email: countrysideservice@derbyshire.gov.uk or using the model cancellation form. Cancellations by email or phone should state the same details as required by the model cancellation form.

  • All bookings are non-transferable.

  • Substitutions of any of the participants already notified to us will be accepted, provided that the request is received at least 10 working days before the service start date either by phone, tel: 01629 533301 or email: countrysideservice@derbyshire.gov.uk. Substitution requests received by us less than 10 working days before the service start date may be permissible at our absolute discretion.

  • We will issue full joining instructions to you, which includes information regarding the start time of the service. If you do not receive the joining instructions within 3 working days, it is your responsibility to contact us either by phone, tel: 01629 533301 or email: countrysideservice@derbyshire.gov.uk, to arrange for them to be re-sent.

  • Failure to attend any of the services due to you not receiving the joining instructions will result in the full cost of the course being charged, or a £10 administration fee, whichever greater. It is your responsibility to ensure that you (or any other participant you are booking on behalf of) are fully briefed and made aware of these instructions and any administration requirements that we make known to you before attending any of the services.

  • Our service fees may be based on a minimum number of participants, therefore, if we do not reach this level of participants for the relevant service, We reserve the right to cancel that service. If we are unable to run a service under these circumstances, we will refund any charges to you in full using the payment method used for the original purchase.

  • Except in respect of death or personal injury caused by our negligence, or our breach of any statutory duty, we shall not be liable to you for any losses or costs, including any financial losses not directly relating to the service, or any other compensation.

  • Personal data collected by us will be used for the purpose of administration of the services and may be disclosed to appropriate bodies/organisations associated with such services.

  • We take appropriate measures to ensure that we keep your information secure, accurate and up to date, and that we will only keep it for as long as is reasonably necessary.

  • Your personal data will not be passed on to any third parties without your express consent.

  • We advise you to print off and keep a copy of these terms for your records. These terms do not affect your statutory rights.

  • We hope that you have an enjoyable time participating with us but if you do have a complaint, we want to deal with it fairly and swiftly. Please talk over the situation with your event facilitator initially. If this doesn’t resolve the matter, then please contact us by emailing countrysideservice@derbyshire.gov.uk

  • These terms and all matters connected with any order you place with us for the services, shall be governed by and construed in accordance with the laws of England and Wales and you irrevocably submit to the jurisdiction of the courts of England and Wales.
