Time Swap privacy notice

Privacy notice for the adult care department Time Swap engagement event on the 14 and 19 July 2021.


We're committed to protecting your personal data and ensuring that it is processed fairly and lawfully. Information we collect will be processed in accordance with the General Data Protection Regulation, the Data Protection Act 2018 and any subsequent legislation.

Purpose of processing

To assist in the commissioning process of Time Swap, we are hosting 2 online engagement events.

Event 1 on the 14 July 2021 will invite members of the public, who are existing Time Swap members, our staff and external staff from a range of organisations to join in an information sharing and gathering event. Time Swap members' video testimonies and photographs will be shown, throughout the presentation, to those attending the event. Participants will be invited to discuss their opinions on this service and identify ways in which we could improve things going forward.

Event 2 on the 19 July 2021 will be for potential providers of the Time Swap service only and will look more closely at the procurement process.

The information provided will help paint a picture of the existing service in the interest of information sharing.

Both online events will be recorded for the purpose of information gathering and in the interest of transparency, enabling any other potential bidders to have full access to all the information available.

The legal basis for processing is ‘Article 6 (1) (e) UK GDPR Public Task ‘Processing is necessary for the performance of a task carried out in the public interest.

Information we process

The data that we will collect during these online events will be Time Swap members' video testimonies and photographs of them participating in Time Swap activity.

The videos do include some members' names, spoken by themselves. No photographs will be named.

The events themselves will be recorded therefore all participants will have their faces shown during discussions.

We have informed all participants within the invites that this will be recorded and will remind again on the date of the event.

Sharing your information

Both online events will be recorded for the purpose of information gathering and in the interest of transparency, enabling any other potential bidders to have full access to all the information available.

Amount of time we will hold your information

Your information will only be held during the procurement process of Time Swap. Recordings of the two events will be held until the 31 May 2022 after which they will be destroyed.

Keeping your information secure

We are committed to protecting personal data and have data policies and procedures in place to ensure that it is safeguarded.

These recordings will be securely saved and published on Source Derbyshire and Pro-Contract until 31 May 2022.
