Here we answer some of your most frequently asked questions about registering a club, society or organisation in the Derbyshire Directory.

What are the aims of the Derbyshire Directory?
The Derbyshire Directory has two key purposes:

  • To give local people easy access to information about clubs, societies, voluntary groups and not-for-profit organisations 
  • To promote and support  community organisations and to help them to find volunteers and new members and to promote their jobs and events.     

Is there a charge to be included in the directory?
It is completely free to be listed in the online Derbyshire Directory.

How can members of the public search the directory?

What type of organisation can be listed in The Derbyshire Directory?

  • Clubs, societies and voluntary groups (with or without charitable status) 
  • Not-for-profit or public organisations that provide care or advice.     

What type of organisation CAN’T be listed?
Commercial businesses or profit-making organisations cannot be included in the Derbyshire Directory.

Any entry in the Derbyshire Directory is at the discretion of Derbyshire County Council and the council reserves the right not to accept a listing or to remove an organisation from the directory.

What area does the directory cover?
To be listed in the directory, clubs, societies and organisations must operate partly or wholly in the county of Derbyshire. 

If an organisation carries out its activities only within the Derby City area, it cannot be listed in The Derbyshire Directory. Please contact Derby City Council for information about their services for clubs and voluntary groups.

In some cases, a national or regional number or website may be listed in the directory where there is no local contact available.

How much information has to be published on the website?
The minimum amount of information that has to be listed on the directory website is:

  • the name of the organisation 
  • a brief description of what you do
  • a telephone number for people to find out more information.     

However, you are welcome to include additional information. 

For administrative purposes and to verify that your information is correct, we will need a full contact address but this will not be published on the Derbyshire Directory unless you tell us to (see below).

I’m the secretary of a small club and we don’t have an office address. Do I have to give my home address on the website?
When you complete the form, you can tell us if you do not wish your address to appear on the internet. 

Before your entry goes live you will be contacted by a member of the directory team to check the details that you wish to appear on the website are correct.

We will never pass on any information that you indicate on the form you do not wish to be made public. 

Any personal data you supply will be stored securely and will only be used by the Derbyshire Directory team to write to, email you or telephone you about your entry in the directory or related projects.

Once listed in the Derbyshire Directory, how can an organisation update or change their details?
When your entry is registered in the Derbyshire Directory, you will be able to tell us about any changes by using a the contact us form on this website or by telephoning 01629 585216. 

Please note that it is the responsibility of any organisation listed in the directory to ensure that the information published online is correct.

Derbyshire County Council will contact every listed organisation once a year to check that the information is up-to-date. If any information changes in the meantime it is the organisation’s responsibility to inform the council. 

Alterations to online entries will normally be made within five working days.

The council will take every care to ensure that information provided to them by organisations is accurately published.  However, the council cannot accept any liability for error or omission.
